YOUR ROLE:
As an HOA Community Manager, you will be responsible for overseeing and managing the day-to-day operations of Community Associations (HOAs). Your role will involve working closely with PMI Service Group team members, board members, owners, vendors, and other stakeholders to ensure proper governance and property standards for the Communities you manage.
RESPONSIBILITIES:
- Act as the primary contact for board members and owners.
- Interpret and enforce those covenants, rules and regulations equally.
- Attend board meetings and assist the board in their forward-facing role.
- Create and manage the annual budget, including revenue collection, expense tracking, and financial reporting.
- Oversee financial statements and reports, ensuring transparency and accuracy.
- Monitor account delinquencies and work with owners, board members and legal teams to reduce receivables.
- Request and interpret vendor contracts for common area services: landscaping, snow and ice, etc.
- Perform regular property inspections to identify maintenance and repair needs.
- Engage in communication with owners, board members, committees, vendors and legal teams.
- Stay up-to-date with ICPA/CICAA laws and regulations at the local, state, and federal levels.
- Provide guidance and assistance to ensure compliance with legal requirements and obligations.
- Mediate disputes and conflicts among owners or between owners and the board.
- Work to find amicable solutions to resolve issues within the community.
- Coordinate with relevant authorities and services during emergencies.
- Maintain organized and secure records of important Association documents, contracts, and correspondence.
- Publish and provide records and documents for reference by Community members
EXPERIENCE WE SEEK:
- Prior experience in Association management
- Excellent written and verbal communication skills
- Current CAM license in the state of Illinois, or the willingness to get proper certification (support will be provided)
- Technical ability with Windows, Web-based software, Google Workspace (Gmail and Drive), Word, Excel, Canva, Photo editing, etc.
- People-skills, Patience and Positivity
- Enthusiasm and open-mindedness to learn and grow your skills
About the Author
Paul is a founding partner of PMI Service Group and has more than 24 years of experience owning and managing investment properties in Illinois and Indiana. Paul manages the Association side of the business today, working with HOA homeowners associations, condominium associations and commercial properties throughout northern Illinois. His experience includes board governance, reserve planning, construction oversight, capital improvement projects, collections, and Illinois community association operations.
